Terms & Conditions
This art union (“Community Raffle”) is conducted by Bayside Community Fund Inc. ABN 36 545 851 977 (“we”, “us” or “our”) pursuant to Licence No. 257343. By purchasing a ticket in the Community Raffle, the ticket holder (“you” or “your”) agrees to these terms and conditions.

  1. Period of Ticket Sale: Valid from 14 August 2026 to 11.59pm, 1 November  2026.
  2. Draw: 7pm on Monday 9 November 2026.
  3. Total number of tickets to be printed and offered for sale: 45,000
  4. Price to be charged for each ticket: $5.00
  5. Winners will be notified by telephone and in writing within 3 business days of being drawn (by 12 November 2026). Prize Winners’ names will be published on the RaffleTix Website and the Bayside Community Fund Inc. (the Conductor) website and Facebook pages.
  6. The permit holder shall not under any circumstances cancel the lottery and refund monies once ticket sales have commenced without the written approval of the Office of Liquor and Gaming Regulation.
  7. The number of tickets printed must not exceed the number authorised by the permit and shall be numbered consecutively from 1 upwards.
  8. The price of every ticket shall be the same.
  9. No person shall be permitted to participate in the lottery until the whole purchase price of the ticket has been paid.
  10. Every ticket shall have printed on it the:
    1. ticket number;
    1. ticket price;
    1. the name of the incorporated eligible association conducting the art union;
    1. the closing and drawing dates;
    1. the way in which prize winners will be notified; and
    1. a description and the retail value of each of the prizes.
  1. Money received for, or on account of, a ticket or chance shall NOT be refunded without the written approval of the Office of Liquor and Gaming Regulation.
  2. A written record shall be kept by the Conductor of the numbers of the tickets issued for sale and the names and addresses of the person to whom they were issued, the number of such tickets issued that have been sold and the number of tickets returned unsold.
  3. No person under the age of 12 years shall be permitted to sell tickets in the lottery.
  4. Tickets shall not be sent or posted to any person for the purpose of sale to or by that person unless their consent has previously been obtained to either buy or sell tickets in the lottery.
  5. Every person who sells a ticket shall at the time of the sale, cause to be legibly written on the butt of such ticket the full name and either address or phone number of the ticket holder. Tickets that do not have the full name and either phone number or address will be deemed invalid and not be entered in the draw.
  1. An organisation on behalf of which the lottery is conducted or participating in the raffle (or a person acting on behalf of the organisation) shall not purchase tickets or otherwise acquire tickets in the lottery. (Does not preclude a member of the organisation purchasing tickets on their own behalf).
  1. Directors and Staff of the Conductor and their immediate family are not permitted to purchase or otherwise acquire tickets in the lottery.
  1. The authorized ticket sellers (the Recipient)) shall ensure that the following are all returned by 5pm on Monday 2 November 2026:
  2. all butts of tickets sold;
  3. the proceeds of such sales;
  4. all other tickets issued but unsold;
  5. Statutory Declaration for all missing tickets (if applicable).
  1. All sold tickets shall be included in the draw unless invalid.
  • The prize winners of the lottery shall be determined by the drawing of tickets numbers or lots. The major prize shall be awarded to the first ticket drawn. Second prize will be awarded to the second ticket drawn and third prize will be awarded to the third ticket drawn and so on through to prize 13.
  • The Conductor shall keep or cause to be kept accurate and adequate records of gross proceeds and obtain receipts or other proof of payment made for all expenses. Such records shall be kept in good order for a period of 5 years and be made available for inspection by an Authorised Officer of the Office of Liquor and Gaming Regulation.
  • The Conductor shall furnish the Office of Liquor and Gaming Regulation with all such information (including copies of documents) relating to the subject of the licence including but not limited to information relating to the disbursement of moneys (particularly the purpose or purposes to which they were applied) constituting the gross receipts from the gaming or lottery the subject of the licence as the Office of Liquor and Gaming Regulation may from time to time require.
  • The lottery shall be conducted in such a manner that every holder of a ticket has a fair and equal chance, in respect of every ticket or chance held by him or her, of winning a prize.
  • The net proceeds of the lottery shall be used only for the purpose stated in the Memorandum of Understanding (MOU). The funds raised from the sale of tickets cannot be used for any private or commercial gain for example wages. Funds must be used by the organisation in compliance with signed MOU. This includes purchase of uniforms, purchase of equipment, funding of a project and/or event that benefits the community and is in line with the organisations overall objectives.
  • All prizes shall be distributed to the prize winners within 30 days of the raffle draw.
  • Requests for postponements of drawing etc, must be made in writing to the Office of Liquor and Gaming Regulation at least 7 days before the lottery’s scheduled closing date. This request must include the new drawing and publishing dates and a notice must be placed in the relevant publication advising ticket holders of the postponement.
  • Draw Details: Numbered ticket stubs will be entered into a container and will be drawn by a nominee of Bayside Community Fund Inc. First prize will be drawn initially, followed by all other prizes in descending order. A complete list of the prizes is available below.

  • Privacy:

On submission, entries become the property of the Conductor. By entering this raffle, you consent to us using your entry in any media for an unlimited period without compensation for the purpose of promoting this raffle (including any outcome), and promoting any products supplied by us. The winners agree to allow the Conductor to use photos and name in any promotion of the raffle results required by the Conductor. By participating in this raffle, each participant agrees, and each individual who registers as a Club Representative on the website agrees, that the Conductor may use and disclose the personal information provided by you for the purpose of conducting the raffle. The Conductor is bound by the Australian Privacy Principles contained in the Privacy Act 1988 (Cth). Promotion Terms of this Agreement:

  1. The Recipient will promote this raffle with the commensurate positioning of any logos, marketing, materials or acknowledgement for the event, in keeping with the proportional value of this sponsorship.
  2. The Recipient will assist Bayside Community Fund Inc. to promote and market the raffle sponsorship by providing photographs and other information for placement in newspapers, newsletters, social media and websites from time to time.
  3. Any printed handouts or advertising relating to this purpose or service will include Bayside Community Fund’s logo and brand along with the sponsors: Community Bank Victoria Point and Wynnum Manly branches of Bendigo Bank. Copies of which will be supplied as requested. Draft copies of this material together with advertising proofs are to be viewed and approved by Bayside Community Fund Inc. and the sponsor prior to printing and distribution.
